If you are planning a HubSpot implementation or system integration, you want a straight answer to “what is this going to cost us?” HubSpot implementation cost with Cogent is £15,000 to £20,000 for each Level package, fixed price and billed monthly, plus add-ons only where your scope needs them. Ongoing service after the project starts at £2,000 a month, and OW Sync connectors carry a one-time setup fee plus a monthly subscription. HubSpot bills its own licences separately. Where you land depends on your current systems, the Hubs you use and how much data you need to bring across.
We would rather you didn’t have to guess. Below are the prices, the variables that change the scope, the costs you might not expect, and a worked example for a business running OrderWise.
What are Cogent’s HubSpot pricing ranges?
Cogent prices in fixed blocks by stage, agreed before work starts, and never by the hour. Paid scoping (Diagnose) costs £2,500 to £4,500. Implementation through The Cogent Blueprint™ costs £15,000 to £20,000 per Level package, plus add-ons where the scope needs them. Ongoing service runs from £2,000 to £10,000 a month, and OW Sync connectors have a setup fee and a monthly subscription.
| What you are buying | Price |
|---|---|
| Scoping and audit (Diagnose), remote | £2,500 to £4,500 one-time |
| Onsite scoping and audit sessions | From £6,000 depending on location, requirements and days on site |
| HubSpot implementation (one Cogent Blueprint™ Level package) | £15,000 to £20,000 (fixed price, billed monthly) |
| Add-on: additional HubSpot hub | £5,000 |
| Add-on: data migration | £2,500 (one simple source, such as a spreadsheet), £5,000 (an existing CRM or a few sources) or £10,000 (several systems or a lot of history) |
| Add-on: custom connection to a system with no OW Sync connector | £3,000 |
| Ongoing service | £2,000 to £4,000 a month (Packaged) or £5,000 to £10,000 a month (Guided) |
| System connectors (OW Sync) | £250 to £2,000 setup, then £19 to £848 a month |
Scoping includes your APPS score, your starting Level, a review of your systems and their total cost, and a scoped proposal you own. Each Level package then covers Confirm, Deploy and Adopt for one step up a Level. You can see how the phases run, from Diagnose to Level Up, on how we work.
These are Cogent’s fees only. HubSpot’s own licence fees are paid to HubSpot and are covered in the hidden costs section below. If you want to understand why quotes from different partners can look so far apart, read why HubSpot implementation costs vary between agencies.
How do your Hubs and tier affect the cost?
The biggest factor in scope is the complexity of the subscription you choose. Sales and Service Hubs are generally simpler to set up, Marketing Hub is more involved, and Enterprise tiers add more again. Cogent works this out during scoping and fixes the price before work starts. Where the scope needs an additional HubSpot hub, that hub is a £5,000 add-on.
- Sales and Service Hubs. Simpler to set up, although the work still depends on how complex the processes being mapped are.
- Marketing Hub. More complex, because it involves email templates, automation workflows, segmentation and blog migration.
- Enterprise tier. Complexity increases significantly, for example with custom objects and advanced permissions.
The difference comes down to the work involved. A Marketing Enterprise setup might take 50+ hours of technical configuration and training, whereas a Service Hub Professional setup might only take 20 hours. What do OW Sync connectors cost?
If you use one of Cogent’s OW Sync connectors, you pay a one-time setup fee and a monthly subscription, with annual billing also available. The price depends on the type of system you connect and the tier you choose. ERP connectors, including OrderWise, Sage 200 and NetSuite, cost £2,000 to set up, then £259 (Lite), £599 (Standard) or £848 (Advanced) a month.
| Connector group | Setup (one-off) | Lite | Standard | Advanced |
|---|---|---|---|---|
| ERP: OrderWise, Sage 200, NetSuite, Dynamics 365 Business Central, Acumatica, Interprise, Vantage Online and others | £2,000 | £259 a month | £599 a month | £848 a month |
| Accounting: Xero, FreeAgent | £1,000 | £129 a month | £299 a month | £448 a month |
| Data: Glenigan, Barbour ABI, Numerik | £500 | n/a | £99 a month | £149 a month |
| Data: Endole | £250 | n/a | £19 a month | £39 a month |
The setup fee covers mapping your specific data fields correctly. If the system you need has no OW Sync connector, a custom connection is a £3,000 add-on. If you are also moving records out of an old CRM, the cost of HubSpot data migration is worth reading alongside this.
What does ongoing service cost after the project?
After go-live, many clients stay with Cogent for ongoing service, which comes in two forms. Packaged costs £2,000 to £4,000 a month, with light customisation from a set menu and adoption led through in-app guides. Guided costs £5,000 to £10,000 a month, with custom elements, a Client Enablement Manager leading adoption and a regular Level Up review.
| Service | Monthly cost | What you get |
|---|---|---|
| Packaged | £2,000 to £4,000 | Light customisation from a set menu; adoption led through in-app guides |
| Guided | £5,000 to £10,000 | Custom elements; a Client Enablement Manager leading adoption; a regular Level Up review |

What hidden costs should you budget for?
Four costs are easy to miss. HubSpot licence fees are paid directly to HubSpot. VAT is added to all net prices for UK-based customers. Any third-party app Cogent recommends for a niche problem carries its own subscription. And connecting a system that has no OW Sync connector needs a custom connection, which is a £3,000 add-on.
- HubSpot licence fees. You pay HubSpot directly for the software subscription (for example, Sales Hub Professional). Cogent’s fees are strictly for the service of setting it up and managing it. HubSpot’s current prices are on HubSpot’s pricing page.
- VAT. Added to all net prices shown on the quote for UK-based customers.
- Third-party apps. If Cogent recommends a specific tool to solve a niche problem, such as calling software or an SMS integration, that subscription is an additional cost.
- Custom connections. A connection to a system outside the OW Sync connectors is a £3,000 add-on, agreed at scoping.
What does a complete HubSpot and OrderWise project cost?
In Cogent’s worked example, a business on OrderWise ERP implementing Marketing Hub Professional and Sales Hub Professional, synced with its OrderWise stock and customer data, pays for one Level package (£15,000 to £20,000 fixed price, billed monthly) plus a £2,000 OW Sync setup fee. After that, the connector costs £259 (Lite), £599 (Standard) or £848 (Advanced) a month, and HubSpot bills its licences separately.
The scenario: you want Marketing Hub Professional to automate emails and nurture leads, Sales Hub Professional for your sales team, and both synced with your OrderWise stock and customer data.
One-time costs
This is what you pay Cogent to get the systems scoped, built and connected, and your team trained.

|---|---|---|
| One Level package through The Cogent Blueprint™ (Confirm, Deploy and Adopt) | Cogent | £15,000 to £20,000 (fixed price, billed monthly) |
| OW Sync ERP connector setup for OrderWise | Cogent | £2,000 |
If scoping shows you also need data migration, an additional hub or a custom connection, the add-ons listed above apply.
Monthly recurring costs
This is the ongoing budget to keep the software running and the data syncing.
| Item | Paid to | Monthly cost |
|---|---|---|
| OW Sync for OrderWise, by tier | Cogent | £259 (Lite), £599 (Standard) or £848 (Advanced) |

The bottom line
- Year 1: the Level package, the £2,000 setup fee, twelve months of OW Sync at your chosen tier, and your HubSpot licences.
- Each year after: OW Sync at your chosen tier and your HubSpot licences, plus ongoing service if you choose it.
Adding sales seats increases your HubSpot licence cost, but the OW Sync fee stays the same. For more on why connecting HubSpot to OrderWise matters, see why you should integrate HubSpot and OrderWise.
Why isn’t Cogent the cheapest option?
You can find freelancers who will set up HubSpot for far less. Cogent is not that. A cheap setup often leads to a messy database that costs thousands to fix later. Cogent’s pricing pays for certified experts, comprehensive training for your team and a system that actually scales, built on The Cogent Blueprint™.
The Blueprint is about more than fixing systems. It starts with The APPS Principle™, the Alignment of People, Processes and Systems, so the price reflects the work of getting your team and processes right, not just configuring software.
If you want a precise number for your own project, book a call. Cogent prices in fixed blocks by stage, agreed before work starts.
Questions people also ask
Are HubSpot licence fees included in Cogent's implementation price?
No. You pay HubSpot directly for the software subscription, such as Sales Hub Professional. Cogent's fees cover the service of setting HubSpot up and managing it. VAT is added to all net prices for UK-based customers, and any third-party apps are an additional cost.
Why does a Marketing Hub setup involve more work than Sales or Service Hub?
Marketing Hub involves email templates, automation workflows, segmentation and blog migration, so there is more to build. Enterprise tiers add custom objects and advanced permissions. Cogent agrees that scope before work starts and fixes the price, and each additional HubSpot hub the scope needs is a £5,000 add-on.
Does the OW Sync fee go up if I add more HubSpot users?
No. Adding sales seats increases your HubSpot licence cost, but the OW Sync fee stays the same: £259 (Lite), £599 (Standard) or £848 (Advanced) a month for an ERP connector such as OrderWise. A team of five pays HubSpot for five Sales Hub seats while the connector fee is unchanged.
How do I get an exact price for my project?
Every business is different, so the ranges here are a starting point. Cogent prices in fixed blocks by stage, agreed before work starts. Book a call to talk through your Hubs, systems and data, and you will get a scoped price rather than an estimate.
