OrderWise and HubSpot integration
See every OrderWise customer, contact, quote, sales order and product inside HubSpot. Your team can raise and update sales orders from HubSpot workflows without re-keying. You can also bring in extra OrderWise data, such as invoices and suppliers, with your own SQL queries.
Best for UK businesses running OrderWise for ERP and warehouse management who sell from HubSpot.

→ Into HubSpot on a schedule
- Links contacts to their companies, and quotes, orders and line items to the right companies, contacts and deals automatically.
- Reads extra data through OrderWise export definitions (SQL queries saved in OrderWise): invoices, suppliers, supplier contacts, targets or deliveries, or any query you write.
- Includes HubSpot-only workflow actions on every plan: add a line item to a deal, link one record to another, create, publish or refresh a CPQ quote from a deal, and create a subscription from a deal.
- Exclusion rules let you stop records that match conditions you set from syncing.

Scheduled syncs run every working day between 07:00 and 19:00 UK time. Setup includes connecting your accounts, creating the HubSpot properties and checking the first sync with you.
How it connects
On-premises: OW Sync reaches your server through a fixed IP address in London, which you allow through your firewall.
What you need
An OrderWise API username and password.
Good to know
- Nothing moves from HubSpot into OrderWise on a schedule; changes go back through HubSpot workflow actions.
- Quotes deleted in OrderWise are not removed from HubSpot, so a deal stays in place when its quote becomes an order.
- A full re-scan reads up to 300,000 records per object.
- Invoices, suppliers and other SQL sources need an export definition set up in OrderWise first.
Questions
Fair questions
Can we write back to OrderWise from HubSpot?
Yes, through HubSpot workflow actions. Every plan can create and update customers, contacts and delivery addresses. Standard and Advanced add products, variants, sales orders, line items and payments. There is no scheduled sync from HubSpot into OrderWise, so nothing changes in OrderWise unless a workflow you build tells it to.
Can we sync more than the standard objects?
Yes. OrderWise lets your admin save SQL queries called export definitions. OW Sync can read invoices, invoice lines, suppliers, supplier contacts, and targets or deliveries this way, or the results of any query you write, and sync them to the HubSpot object you choose. OW Sync tests each export definition before it creates the sync.
What do we need to connect?
An OrderWise API username and password. OrderWise runs on your own server, so OW Sync reaches it through a fixed IP address in London, which you allow through your firewall. OW Sync keeps the connection signed in for you, and your credentials are stored encrypted.
Does it create custom objects in HubSpot?
No. OW Sync uses HubSpot’s standard objects, such as companies, contacts, deals, orders, invoices, products and line items, and adds its own properties to them. Those properties all start with owsync_, so they are easy to spot. Data from your own SQL queries can go to a custom object you already have.
How do we install the OrderWise connector?
Choose Install on HubSpot, pick your HubSpot account and approve OW Sync’s access. OW Sync then asks for your contact and company details and takes you through connecting OrderWise. Setup includes creating the HubSpot properties and checking the first sync with you.
When do syncs run?
Scheduled syncs run every working day between 07:00 and 19:00 UK time, as often as your plan allows. On Advanced, you can also switch on weekend syncs. Workflow actions run whenever your HubSpot workflow triggers them.
Who builds and supports OW Sync?
Cogent does. OW Sync is our own connector range, built and supported by our team in the UK. If you need more than the connector does out of the box, we can scope custom work or a full HubSpot project around it.
